Position Summary
The Office Assistant performs a variety of clerical and administrative support duties to ensure efficient daily operations of the city offices. This position serves as the first point of contact for the public, providing excellent customer service by answering phones, greeting visitors, and assisting with general inquiries. Additional responsibilities include assisting with accounts receivable processes and performing other duties as assigned to support city operations.
Essential Duties and Responsibilities
- Answers incoming phone calls, provides information, and routes calls to appropriate departments or personnel.
- Greets and assists the public, vendors, and employees in a professional and courteous manner.
- Processes incoming and outgoing mail and correspondence.
- Assists with accounts receivable activities, including preparing and posting payments, issuing receipts, and maintaining related records.
- Provides clerical support such as data entry, filing, photocopying, scanning, and maintaining office records.
- Assists with the preparation of reports, forms, and correspondence as needed.
- Maintains confidentiality of sensitive information in accordance with city policies and state law.
- Supports various city departments with administrative tasks as directed.
- Performs other duties as assigned by the City Treasurer or supervisor.
Knowledge, Skills, and Abilities
- Knowledge of general office procedures and practices.
- Strong communication and customer service skills.
- Proficiency with computers and common office software (e.g., Microsoft Office Suite, BS&A or similar municipal software).
- Ability to handle multiple tasks and prioritize workload effectively.
- Attention to detail and accuracy in financial and recordkeeping tasks.
- Ability to work independently and as part of a team in a professional municipal environment.
Minimum Qualifications
- High school diploma or equivalent required.
- Prior experience in an office, customer service, or municipal environment preferred.
- Experience with accounts receivable or financial recordkeeping is desirable.
Working Conditions
Work is performed in a standard office environment. Frequent contact with the public, city staff, and vendors. May require occasional attendance at evening meetings or special events.
